    Terms of Service

    Last updated October 21, 2026 · v1.1.0

    Version 1.1.0

    Effective date: October 21, 2026
    Provider: LawVox LLC, a Delaware limited liability company ("we", "us"), operating the very cool report service.
    Contact: support@verycoolreport.com

    1. Who these terms are for

    1.1 very cool report (the "Service") is a business tool for documenting workplace events: employee write-ups, terminations, incidents and near misses. It is offered only to businesses, and to individuals acting for a business.

    1.2 By creating an account, or by checking the box that says you agree, you accept these Terms on behalf of yourself and the business you name (the "Customer"). You confirm that you are at least 18 and have authority to bind that business. If you don't agree, don't use the Service.

    1.3 The Service is not offered to consumers for personal, family or household use.

    2. What the Service is, and what it is not

    2.1 A documentation tool. The Service helps managers record what happened, in a consistent structure, at or near the time it happened. When a report is sealed, the Service records its content and the time of sealing, and it prevents later edits to that sealed record.

    2.2 Not legal advice. We are not a law firm, and nothing in the Service, its templates, prompts, examples or emails is legal advice. Using the Service does not create an attorney-client relationship. For legal questions about discipline, termination, workplace injuries or any other employment matter, consult a qualified employment attorney.

    2.3 No guaranteed outcome. We do not guarantee that any report will be accepted as evidence by any court, agency, insurer or arbitrator. We do not guarantee that using the Service satisfies any legal, regulatory, insurance or record-keeping requirement, or that it prevents or wins any claim. Whether a record helps you depends on what you write, when you write it and how you use it.

    2.4 Templates are generic. Templates and prompts are written for US businesses in general. They are not tailored to any state, city, union agreement or company policy. You are responsible for adapting your practices to the rules that apply to you.

    2.5 Workplace safety and OSHA records. very cool report provides recordkeeping tools and does not constitute legal or regulatory compliance. The employer is solely responsible for determining which incidents are recordable under OSHA rules and ensuring all recorded information is accurate.

    3. Accounts

    3.1 One person, one login. Each manager uses their own account. Don't share logins. A sealed report names the account that sealed it, so a shared login makes the record name the wrong author.

    3.2 You are responsible for keeping your password secure and for everything done under your account. Tell us promptly at support@verycoolreport.com if you believe your account has been accessed without permission.

    3.3 Reports made before an account exists. You can start a report before creating an account. A report sealed before the account is created is permanently marked as a sample, and that mark cannot be removed later. Create your account before sealing any report you intend to rely on.

    3.4 The account owner controls the Customer's workspace. That includes inviting and removing managers, and deciding who can see which reports.

    4. Your content and your employees' information

    4.1 You own your content. Everything you enter, dictate, photograph or upload ("Customer Content") belongs to the Customer. That includes information about your employees, customers and witnesses.

    4.2 Our licence to it. You give us permission to host, store, process, transmit and display Customer Content only as needed to provide, secure and support the Service, and as required by law. We may also use de-identified, aggregated data that cannot identify any person or business to operate and improve the Service.

    4.3 Your responsibilities. You are responsible for Customer Content: its accuracy, and your right to collect it and use it. That includes:

    • (a) giving any notices to employees or others, and getting any consents, that the law requires where you operate;
    • (b) not recording anyone's voice or image where that isn't lawful. The Service transcribes the manager's own dictation; it does not store audio recordings;
    • (c) not entering more personal or medical information than the report reasonably needs;
    • (d) following your own record-keeping, confidentiality and anti-retaliation obligations.

    4.4 Our role. For personal information in Customer Content, we act on the Customer's instructions as a service provider or processor. How we handle personal information is described in our Privacy Policy (verycoolreport.com/privacy), which forms part of these Terms.

    5. Sealed records and retention

    5.1 Sealed means sealed. Once a report is sealed, neither you nor we can edit its content through the Service. You can add a new, separate record (for example a correction note) that refers to it.

    5.2 Deletion requests. Because the value of a sealed record is that it hasn't changed, we will not delete or alter a sealed record just because it is inconvenient. We will delete or restrict records when the law requires it, and when you close your workspace under section 8.

    5.3 Your archive after you stop paying. If your subscription ends, you keep read-only access to your sealed records for 7 years after it ends. If we ever stop operating the Service, we will give at least 90 days' notice so you can export your records. You can export your records at any time while you have access.

    5.4 Backups are kept for disaster recovery for a limited period and are not a separate archive you can request.

    6. Acceptable use

    You will not:

    • (a) use the Service to harass, discriminate against, or retaliate against anyone, or to create false or backdated records;
    • (b) enter content you know to be false;
    • (c) try to get into other customers' data, test for vulnerabilities without our written permission, or disrupt the Service;
    • (d) copy, resell or reverse-engineer the Service, or use it to build a competing product;
    • (e) upload malware, or content you have no right to upload.

    We may suspend access that breaks this section, or that puts the Service or other customers at risk. Where reasonable, we will tell you first.

    7. Trial, fees and payment

    7.1 Free trial. New workspaces get a free trial of 30 days. No payment card is needed, and you will not be charged automatically when it ends. To keep creating reports after the trial, you need to start a paid plan.

    7.2 Fees. Fees are charged per location, as shown on our pricing page or at checkout when you subscribe. There are no per-manager fees. Fees are billed in advance, monthly or yearly, and exclude taxes. You are responsible for applicable taxes. Our orders are processed by our online reseller, Paddle.com, which is the Merchant of Record for all our orders. Paddle's buyer terms (https://www.paddle.com/legal/checkout-buyer-terms) apply to the purchase.

    7.3 Price changes. We may change prices for future billing periods by giving at least 30 days' notice. A change never affects a period you have already paid for.

    7.4 Refunds. Refunds follow our Refund Policy (verycoolreport.com/legal/refund): full refund within 14 days of any payment.

    7.5 Late payment. If a payment fails, we may pause the creation of new reports until it is fixed. Your read access to sealed records continues under section 5.3.

    8. Cancellation and termination

    8.1 You can cancel at any time by emailing support@verycoolreport.com. Cancellation takes effect at the end of the current billing period.

    8.2 We may end these Terms or suspend your account:

    • if you materially break them and don't fix the breach within 15 days of notice;
    • immediately, for a serious breach of section 6;
    • if we stop offering the Service, with at least 90 days' notice.

    8.3 On termination, section 5.3 (archive access and export) applies. You can ask us to delete your whole workspace. We will do so within 30 days, except where the law requires us to keep something.

    9. Availability and changes to the Service

    We work to keep the Service available and secure, but we don't promise it will be uninterrupted or error-free. We may improve or change features. If we remove a feature you depend on, we will give reasonable notice where practical.

    10. Disclaimers

    EXCEPT AS EXPRESSLY STATED IN THESE TERMS, THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE". TO THE FULLEST EXTENT ALLOWED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ANY WARRANTY THAT THE SERVICE OR ANY RECORD WILL MEET ANY LEGAL, REGULATORY, EVIDENTIARY OR INSURANCE REQUIREMENT.

    11. Limitation of liability

    11.1 TO THE FULLEST EXTENT ALLOWED BY LAW, NEITHER PARTY WILL BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE OR GOODWILL. THIS INCLUDES ANY JUDGMENT, SETTLEMENT, PENALTY OR LEGAL FEES ARISING FROM THE CUSTOMER'S EMPLOYMENT DECISIONS OR WORKPLACE EVENTS.

    11.2 OUR TOTAL LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICE IS LIMITED TO THE FEES THE CUSTOMER PAID US IN THE 12 MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM. DURING A FREE TRIAL, THAT AMOUNT IS US$100.

    11.3 These limits do not apply where the law does not allow them.

    12. Indemnity

    The Customer will defend and indemnify us against third-party claims arising from:

    • (a) Customer Content;
    • (b) the Customer's employment decisions or other use of records made with the Service;
    • (c) the Customer's breach of section 4.3 or section 6.

    We will promptly notify the Customer of any such claim and reasonably cooperate, at the Customer's expense.

    13. Changes to these Terms

    We may update these Terms. For material changes, we will notify the account owner by email or in the app at least 30 days in advance, and we may ask you to accept the new version before you continue. Earlier versions, and the version each user accepted, are kept on record.

    14. Governing law and disputes

    These Terms are governed by the laws of the State of Delaware, USA, without regard to its conflict-of-law rules. Any dispute will be brought in the state or federal courts located in Delaware, and both parties consent to their jurisdiction.

    15. General

    • These Terms and the Privacy Policy are the whole agreement between us about the Service.
    • If a part is unenforceable, the rest still applies.
    • Not enforcing a right is not a waiver of it.
    • You may not transfer these Terms without our consent. We may transfer them with our business.
    • Neither party is liable for delays caused by events beyond its reasonable control.
    • Notices to us go to support@verycoolreport.com. Notices to you go to the account owner's email.
