Who we are: very cool report is operated by LawVox LLC, a Delaware limited liability company ("we", "us").

This policy explains what information the very cool report app and website collect, why, who else handles it, and the choices you have. It forms part of our Terms of Service.
1. Two kinds of information
1.1 Your account information. This is information about you, the manager or account holder. We are responsible for it.
1.2 Report content. This is what you put in reports: information about your employees, guests, witnesses and events. It belongs to your business (the "Customer"). We handle it only on the Customer's instructions, as a service provider or processor (Terms, section 4).
2. What we collect
2.1 Account information. Your name, email address, business name, state, position and department. If you choose "Continue with Google", Google shares your name and email address with us.
2.2 Report content. Names, positions, statements, dates, times, locations, photos and signatures that you or your managers enter.
2.3 Voice input. When you dictate, the audio is sent to our transcription provider (Deepgram) and turned into text. very cool report does not store the audio. Only the text is saved in the report.
2.4 How you arrived. If you came from an advertisement, we store the campaign tag and the click identifier from the link in our own database. This tells us which ad brought a visitor. It is never sent to any advertising company.
2.5 Technical data. The basic information needed to run and secure the service: sign-in records, device and browser type, IP address and error logs.
2.6 On your device. The app saves unfinished reports and your sign-in session in your browser's storage, so nothing is lost if you close the page or lose signal.
3. What we do not do
- We do not sell personal information or run advertising pixels. We use Microsoft Clarity to see how visitors use our website and app (taps, scrolls, screens). Inside the app, all text — statements, names, answers, signatures and emails — is masked in your browser and never sent to Clarity.
- We do not share report content with any advertising, analytics or marketing company, for any purpose.
- We do not use report content to train AI models.
4. How we use information
To provide the service: create, seal, store and email reports; run accounts and invitations; respond to support requests; keep the service secure and working; and understand, in total numbers, which of our ads lead people to try the app.
5. Who else handles it
Only these service providers, and only to run the service:
| Provider | What it does |
|---|---|
| Supabase, through Lovable Cloud | Database, sign-in and file storage |
| Lovable | Hosts the app and our public website |
| Deepgram | Turns dictation into text |
| Resend | Sends emails, including sealed-report PDFs |
| Sign-in, only if you choose "Continue with Google" | |
| Paddle | Payments, billing and invoices |
| Microsoft Clarity | Usage analytics |
We may also disclose information when the law requires it, or to a buyer if the business is sold (Terms, section 15).
6. How long we keep it
6.1 Sealed reports cannot be edited by anyone, including us. They stay in your account while you have one. After a subscription ends, you keep read-only access for 7 years (Terms, section 5.3).
6.2 Deleting a workspace. The account holder can ask us to delete the whole workspace. We do so within 30 days, except where the law requires us to keep something (Terms, section 8.3).
6.3 Sample workspaces. A sample workspace that never becomes an account may be deleted without notice.
6.4 Backups are kept for a limited time for disaster recovery (Terms, section 5.4).
7. Security
Data is encrypted in transit and at rest. Access to production systems is restricted. Each business's records are separated from every other business's. No system is perfectly secure: use a strong password, and don't share logins.
8. Your choices and rights
8.1 Account holders and managers can ask to see, correct or delete their account information by emailing support@verycoolreport.com.
8.2 Employees and other people named in a report should contact the business that wrote it. That business controls the report. If you contact us, we will pass your request to that business.
8.3 Depending on where you live, you may have other rights under state law. We respond to verified requests as the law requires.
9. Responsibilities of the business using the service
The Customer is responsible for having the right to record information about its employees and others, and for any notice or consent the law requires in its state (Terms, section 4.3).
10. Children
very cool report is a business tool for adults. It is not directed to anyone under 18, and we do not knowingly collect information from minors.
11. Changes
If we make material changes, we will update the version and date above and tell account holders in the app or by email.
